In short: we collect what we need to pass your job to local tradies, or to send jobs to you if you're a tradie. A customer's number goes only to tradies who accept their job. We don't sell personal information to advertisers or data brokers, and we don't send customers marketing.
Who we are
Pronexi Services is operated by Emma Infotech Pty Ltd (ABN 16 644 105 368) (we, us, our). This policy explains how we handle personal information when you use our WhatsApp service, the website at services.pronexi.com and the tradie dashboard. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
If you post a job
- your WhatsApp number and WhatsApp profile name;
- what you tell us about the job: your description, answers to our questions, photos, suburb and timing;
- your messages with us, and your answers to follow-up questions (for example, whether you hired someone).
If you're a tradie
- your name, business name, WhatsApp number and email address;
- your ABN, licence number, trades and the suburbs you cover;
- documents you upload, such as licence and insurance certificates;
- the jobs you're sent, view, accept or pass on, your bad-lead reports, and your payment history;
- your card brand and last 4 digits (your full card details are held by Stripe, not us);
- dashboard login records, including the device's browser type.
On this website
Our hosting provider keeps standard server logs, such as IP address, browser type and pages requested. We don't use advertising or analytics cookies on this website. The tradie dashboard uses one essential cookie to keep you logged in.
We don't ask for sensitive information (such as health or racial information). Please don't send it to us, including in photos.
How we collect it
Mostly directly from you, through WhatsApp, the dashboard or email. We may also receive information from tradies or customers about each other (for example, a tradie reporting that a customer's number doesn't work), from WhatsApp (such as your profile name and message delivery status), from Stripe (such as whether a payment succeeded), and from public registers, such as the ABN Lookup and licence registers, when we check tradie accounts.
How we use it
- to review jobs and send them to tradies who cover that work and area;
- to share a customer's details with tradies who accept their job;
- to set up, check and approve tradie accounts, and to let tradies log in;
- to charge lead fees, issue receipts and process refunds;
- to send service messages, such as job alerts, updates on a job, login codes and account notices;
- to handle bad-lead reports, complaints and disputes;
- to prevent fraud, spam and misuse, including blocking numbers that repeatedly post junk jobs;
- to understand how the service is used and improve it, using de-identified or aggregated information where we can; and
- to meet our legal, tax and accounting obligations.
We use automated tools, including AI services, to help read job descriptions and suggest the trade, a short summary and follow-up questions. A person on our team reviews every job before it's sent to tradies.
We don't send customers marketing messages. We may tell tradies about changes to the service, and they can ask us to stop non-essential messages at any time.
Who we share it with
| Who | What and why |
|---|---|
| Tradies who cover your job's trade and area | Job description, answers, photos, suburb and timing, so they can decide whether to take it. |
| Tradies who accept your job | Your first name and WhatsApp number, so they can contact you about that job. You agree to this when you tap Send job. |
| Customers | When a tradie contacts a customer, the customer will see the tradie's number and whatever the tradie chooses to share. |
| Meta (WhatsApp) | Our messages with you are sent through the WhatsApp Business Platform. |
| Our service providers | Cloud hosting and file storage (Google Cloud and Firebase), our database host (Neon, on Amazon Web Services), payments (Stripe), AI tools that help read job descriptions (OpenAI), and email providers. They handle information only to provide their services to us. |
| Others where required | Professional advisers, law enforcement, regulators or courts where the law requires or allows it, or to protect someone's safety. A buyer of our business, if it is sold, under this policy. |
We do not sell personal information to advertisers or data brokers.
Overseas storage
Some of our service providers store or process information outside Australia, mainly in the United States (including Google Cloud hosting and file storage, OpenAI and Stripe), and Meta processes WhatsApp messages in its global systems. Our database is hosted in Sydney. We choose providers with strong security and privacy commitments and take reasonable steps so they handle personal information consistently with the Australian Privacy Principles.
How long we keep it
- A customer's name and number are removed from a tradie's dashboard 30 days after the tradie accepts the job.
- We keep job records, messages and account records for as long as we need them to run the service, handle disputes and prevent misuse.
- Payment and tax records are kept for at least 5 years, as Australian tax law requires.
- When we no longer need information, we delete it or de-identify it.
Security
We store information with established cloud providers, encrypt it in transit, keep uploaded files in private storage, limit staff access, and keep login codes and tokens only in hashed form. No system is completely secure. If a data breach is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as the law requires.
Tradies and customer details
Tradies are independent businesses, not part of Pronexi Services. Once a tradie receives a customer's details, they are responsible for how they handle them. Our Terms of Use require tradies to use customer details only for that job, not to market to customers or share their details, and to delete them when no longer needed. If you think a tradie has misused your details, tell us and we'll investigate and may remove their account.
Your choices and rights
- Access and correction. You can ask for a copy of the personal information we hold about you, or ask us to correct it. We may need to confirm your identity first. Tradies can update most details in the dashboard.
- Deletion. You can ask us to delete your information. We'll delete what we can, but we may need to keep some records, such as payment records or information needed to handle a complaint.
- Messages. You can block or stop messaging our WhatsApp number at any time. Tradies can pause job alerts in the dashboard.
- Not providing information. You can choose not to give us information, but we may then be unable to pass on your job or approve your account.
To make a request, email support@pronexi.com. We'll respond within 30 days.
Complaints
If you're concerned about how we've handled your personal information, email support@pronexi.com with the details. We'll investigate and respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
